Crucial processes to give your business accounts a check up.

1. Bank Accounts

It is important to reconcile your business bank accounts regularly. Reconciling your business accounts regularly avoids any documents being misplaced before reconciling and it also detects potentially fraudulent entries early. Whilst your bank account now reconciles to your statement ensuring you review the un-presented items on your bank reconciliation report and you can also investigate any long outstanding transactions or unusual items that you know have occurred. Keeping in mind that these transactions may be duplicates.

2. Creditors

Always remember to review the creditor’s detailed report and if an invoice appears that you’ve already paid, then it is possible that the payment may have been allocated incorrectly and require appropriate action or the invoice could possibly be a duplicate.

Also, ensure that you have not forgotten to pay a supplier. Whilst these things can happen and a supplier might not have contacted you for the payment it doesn’t mean they’re not grumbling about it.

3. Debtors

Always review the debtor’s detailed report and if an invoice appears that you’ve already received payment for it, then the deposit may have been allocated incorrectly and require action or the invoice could be a duplicate.

Contact any outstanding customers that may have forgotten to make payment or not received your invoice. If you’re using Xero or QBO, setup friendly automatic reminders to email the client a few days prior to the invoice being due and again if the invoice is outstanding until payment has been received

4. Payroll

Check the balance of the liability account “Wages Payable’ is $0. If there is a balance, then there is a difference between the payroll system and the payments to employees or the allocations in your software.

Consider setting up ABA files. Which you can export from your payroll software and upload to your internet banking. This improves efficiency as you no longer have to pay each employee separately, and it will also reduce typing errors.

5. Superannuation Payable

Check that the balance of the liability account “Superannuation Payable’ at the beginning of the quarter against payments made in the current quarter. If there is a difference, its possible that a payment has been returned or a payment has not been made.

6. Suspense accounts

Occasionally a usual transaction might occur that is allocated to suspense and that we intend to deal with later. Next thing we know the BAS is due and we need to lodge it, but have transactions in suspense. The longer these transactions are left, the more difficult it is for someone to recall the exact nature/provide documentation for the transaction. If you’re ever in doubt, contact your bookkeeper for assistance.

7. User Access

Always update your passwords. It seems every other month a large corporate website has had its logins compromised. Updating your password regularly can avoid any potential security threat.

Following the steps above can improve the accuracy of your accounts immediately so I’d say do yourself a favour and stay on top of your accounts regularly to avoid a potential headache in 12 months’ time.

DIY Bookkeeping can be costly

The bookkeeping profession has hit back at recent messaging by software providers perpetuating that bookkeeping is “easy to do”, warning that clients might get caught out by increasing compliance requirements.

Bookkeepers are saying they have seen recent marketing by software providers targeting clients by perpetuating that bookkeeping “can be done over a cup of coffee or on your smartphone”.

Bookkeepers are seeing clients trying to reduce fees on bookkeeping support services and often that’s coming off the back of comments by software providers that it is easy, and you can do it yourself.

There’s a perception out there or one that is starting to build among business owners that it is actually very easy to do their own bookkeeping, and yet... we’ve got the compliance environment which is becoming far more stringent — you’re increasing the industries now covered by TPAR, you’re looking at the STP regime, and it is becoming more and more complex for businesses.

There is a real dichotomy there between the software providers saying it is easy, but the compliance drivers are saying it is actually getting more difficult.

There is a real mixed message going out there at the moment between the compliance authorities and the ATO and the Fair Work Ombudsman, and the message that is being pushed out to the client base through the software providers.

Businesses thinking it is very easy because the software providers tell them it is easy will be potentially caught out with those sort of compliance requirements.

It’s like somebody going around saying, ‘Here’s a pair of scissors; it is really easy to use, and you can now go out and cut somebody’s hair now.

DO YOU KNOW WHAT RECORDS YOU NEED TO KEEP FOR BUSINESS COSTS?

The ATO stipulates that you should be able to ‘explain’ all transactions that go through your business. Your records should also be ‘in writing’ (paper or electronic) and kept for a minimum of 5 years (not 7 as previously).

This is especially important when claiming expenses through your business. You need to be able to prove to the ATO that they are genuine and valid.

It means you should ideally have a tax invoice or receipt for every payment – showing:

• Supplier name

• ABN

• Date

• Total value

• Any GST paid.

Larger amounts are more likely to attract attention than the very small ones, so it’s especially vital to be able to back up those big expenses with valid documents.

WHAT ABOUT THOSE TINY CASH PURCHASES?

Of course in some cases, it might seem a bit ridiculous or impossible to get a receipt, such as when popping into the local shop to get half a litre of milk for the office. In cases like these, it is enough just to keep a written record, or – better still – to simply enter them into Xero as ‘Spend Money’ transactions.

WHAT IF RECEIPTS ARE MISSING?

If you can’t get a receipt, or a receipt goes missing, other records such as a credit card statement may be acceptable to the ATO. In general though, it’s expected that you should have documented evidence to back up all payments, at least as much as possible.

HOW ABOUT GST CLAIMS?

The ATO says you should be able to show a tax invoice or receipt for all expenses over $82.50 (including GST) to claim GST credits.

It may be hard to believe now, but there was a time when Amazon founder Jeff Bezos was packing and shipping all of the e-commerce company’s orders himself.

That was a while ago, but the entrepreneur says he remembers Amazon’s early days in the 1990s like it was yesterday.

In a recent wide-ranging interview with David Rubenstein, Bezos explained its always been his goal to ensure Amazon, despite having around half a million employees, has the “heart and spirit” of a small business.

Why? Bezos has a business philosophy called ‘Day One’ that he attributes to much of Amazon’s success, helping to keep the company nimble, open to change and willing to innovate — just like a well-oiled SME.

“You have to use heart and intuition, there has to be risk taking, [and] you have to have instinct — all these good decisions have to be made that way,” Bezos told Rubenstein.

Of course, Amazon isn’t a small business, but Bezos believes the SME mentality has helped his company craft some of its most successful innovations.

Take Amazon Prime, the e-commerce giant’s infamous loyalty program that provides members with free, and fast, shipping on all orders, as well as a plethora of other benefits.

Last year the program boasted 100 million paid members, who pay around $US12.99 (17.90) per month in the US for the privilege. In Australia, Prime members pay $6.99 a month or $59 a year, but they only have access to two-day delivery services.

Prime is regarded as one of the most successful loyalty programs in retail history, but as Bezos explained, it wasn’t always that way.

“A junior engineer … had this idea that we could offer people kind of an all-you-can-eat buffet of fast free shipping,” he said.

“The finance team went and modelled the idea and the results were horrifying; shipping is expensive … [but] customers love free shipping.”

In the early days of Prime, Bezos said the program wasn’t very good for the bottom line.

“What happens when you open an all-you-can-eat buffet? Who shows up first? The heavy eaters,” he said.

But it wasn’t long before the program gathered steam, leading to mainstream adoption, scale, and ultimately a wildly successful program that’s been credited as underpinning much of Amazon’s success.

Taking a chance on an idea a junior software engineer had was risky, but according to Bezos, that’s the name of the game.

“Getting it wrong isn’t that bad,” he said. “We make mistakes, and we make doozies, like the fire phone.”

“But the big winners pay for thousands of failed experiments.”
